Many online forms need a scanned copy of your signature, but you do not need a scanner for it. A pen, a sheet of paper and your phone are enough. This guide shows how to make a clear, correctly sized signature image, and how to avoid the mistakes that cause uploads to fail.
Before you start: read the form’s instructions
Check three things in the form’s notification:
- The size in pixels, mm or cm.
- The KB limit (and a minimum, if any).
- The colour and format, for example JPG, black or blue ink, on a white background.
Also check whether the form wants a handwritten signature on paper. Most forms do, and many do not accept a typed name or a signature drawn with a finger or mouse. Use the same signature that you use in your other official documents, since a mismatch can cause trouble during verification.
What you need
- Plain white paper, without lines or printed borders
- A black or dark blue pen (a gel or ball pen with a medium tip works well)
- A phone with a camera
- Daylight, or a bright, even light
Step 1: Sign on the paper
Write your signature large in the middle of the page. A bigger signature keeps its detail when it is shrunk to a small size like 140 x 60 pixels, while a tiny signature turns into a smudge. Press the pen normally, and let the ink dry before you touch the page. Sign a few times and pick the best one, or use a fresh page for each try.
Step 2: Take the photo
- Place the paper on a flat surface near a window.
- Stand so that your own shadow does not fall on the page.
- Hold the phone straight above the paper, not at an angle. A tilted photo makes the signature look bent.
- Keep the whole signature in the picture, with some white space around it. The tool can remove the extra space later.
- Tap on the screen to focus on the signature before you click.
If your phone has a document scan feature, you can use it too, since it straightens and brightens the page automatically. Many phones have this in their notes or file apps. It is optional, because our tool does its own cleaning.
Step 3: Clean and resize the signature
The photo is still not ready for the form: the paper looks grey, shadows show, and the file is far too big. Fix all of it in one step:
- Open our Signature Resizer and choose your photo.
- Enter the width and height from your form, and the unit (pixels, mm or cm).
- Enter the maximum KB, and the minimum if the form has one.
- Keep Clean up the signature ticked, to whiten the paper and remove shadows.
- Keep Remove the empty space ticked, so the signature fills the box properly.
- Tick Make the ink darker if the strokes look light.
- Press Resize signature, look at the preview, and download the file.

Step 4: Check the result
Open the downloaded file and ask yourself:
- Can I read the signature clearly?
- Is the background clean and white?
- Is the signature complete, not cut off at the edges?
- Are the size and the KB within what the form asks?
If the result looks too light, sign again with a darker pen, or use the darker-ink option. If the signature looks squashed, choose Keep signature shape so that its proportions do not change.
Common mistakes to avoid
- Signing on lined or coloured paper, which leaves marks that are hard to remove.
- Using a light pen or a pencil, which fades after resizing.
- Taking the photo in dim light, with a shadow across the page.
- Cropping too tightly, so that parts of the signature are cut off.
- Uploading the signature in the photo box, or the photo in the signature box.
- Using a different signature from your official documents.

Can I sign on the phone screen with my finger?
Only if the form allows it. Most forms want a signature written on paper, so check the instructions first.
Why is my signature file only a few KB?
A signature on a white background has little detail, so the file is naturally small. That is fine unless your form has a minimum size.
What if my signature is very long?
Choose Keep signature shape, and use a wider size such as one of the wide presets. This avoids squashing.
Which format should I use?
Use JPG, unless the form says otherwise. Our tool saves the result as a JPG file.
