Photo and Signature Upload Problems: 10 Reasons and Easy Fixes

You fill the form, choose your photo, and the website shows an error. Uploads fail for a small number of reasons, and most of them can be fixed in a few minutes. Here are the 10 most common problems and what to do about each.

1. The file is too big (KB)

This is the most common reason. Phone photos are often 1 to 5 MB, while forms may allow only 20, 50 or 100 KB. Fix: Bring the file under the limit with the Photo Resizer. Enter the maximum KB from your form and download the result.

2. The file is too small

Some forms also set a minimum size, such as 10 or 20 KB. A very small or heavily compressed photo can fall below it. Fix: Use a larger pixel size or a better original photo, and enter the minimum KB in the tool so it warns you.

3. The pixel size is wrong

A form may ask for an exact size such as 200 x 230 pixels, or a range. A photo with a different size may be rejected, or it may be stretched by the website. Fix: Resize to the exact width and height in your form’s notification. Read our guide on pixels, KB, cm and DPI if the form uses cm or mm.

4. The format is not accepted

Many forms accept only JPG or JPEG. On iPhones, photos are often saved in a format called HEIC, which many websites do not accept. Fix: Run the photo through our tool, which gives you a JPG file. On an iPhone you can also go to Settings, then Camera, then Formats, and choose Most Compatible so that new photos are taken as JPG. Do not just rename a file to .jpg, because that does not change the real format.

5. The photo looks stretched or squashed

If you force a photo into a size with a different shape, faces look wide or thin, and the form may reject it. Fix: In the Photo Resizer, choose Crop to fit instead of Stretch. This keeps the face natural.

6. The face is unclear or wrongly placed

A blurry photo, strong shadows, a cap, dark glasses, or a face that is too small can lead to rejection. Fix: Take a new photo in daylight, against a plain light background, facing the camera. Keep your whole face and the top of your shoulders in the frame.

7. The signature is faint, dark or on a messy background

A signature photo with grey paper, shadows, lines, or a lot of empty space becomes unreadable after resizing. Fix: Sign large with a dark pen on plain white paper, then use the Signature Resizer, which whitens the paper, darkens the ink and removes the empty space.

8. The name or date is missing

Some forms ask for a photo with your name and the date taken written at the bottom. Fix: Use the Name and Date on Photo tool, and enter the real date the photo was taken. Read your form’s instructions to see whether it is needed.

9. You uploaded the file in the wrong box

The photo box and the signature box often have different limits. Uploading a signature in the photo box, or the other way round, gives an error or a wrong result. Fix: Look at the label above each upload box. Name your files clearly, such as “photo” and “signature”, so you do not mix them up.

10. The problem is with the website or your connection

Sometimes the file is correct, but the upload still fails because of a slow connection, an old browser page, or a busy website (this happens a lot near the last date of a form). Fix:

  • Refresh the page, or try again after some time.
  • Try another browser, for example Chrome instead of the one you are using.
  • Clear the browser cache, or open the form in a private window.
  • Switch between Wi-Fi and mobile data.
  • Avoid the last day, and submit early if you can.

A quick checklist before you upload

  1. Is the file a JPG or JPEG?
  2. Is the size in KB inside the allowed range?
  3. Do the width and height match the form?
  4. Is the face clear and the signature readable?
  5. Have you opened the final file once to look at it?
  6. Is each file going into the correct box?

Frequently asked questions

Why does the form say “invalid file” even when the size is correct?

The format may be different from what the form accepts, or the file may have a strange name. Use a simple file name with letters and numbers only, like “photo.jpg”.

Can I use a screenshot as my photo?

It is better not to. A screenshot has the pixel size of your screen and lower quality. Resize the original photo instead.

My photo was accepted but later flagged. Why?

Some authorities check photos manually. An old photo, a filtered photo, or a photo with an unclear face can be flagged. Use a recent, natural photo.

Where do I find the correct size and format?

Always in the official notification or on the application page of the exam or service. Sizes change from year to year, so do not depend on an old form or a friend’s advice.
