Getting a message that your photo or signature was rejected, sometimes after you have already paid the fee, is stressful. The good news is that in most cases it can be corrected, if you act calmly and follow the right steps. This guide explains what to do, and how to avoid a second rejection.
An upload error and a rejection are different
- An upload error appears immediately, when you try to upload a file. The website refuses it because of size, format or a similar rule. For this, see our guide on photo and signature upload problems.
- A rejection happens later, after you submit the form. A person or a system checks your photo and marks it as not acceptable. This guide is about that second case.
Step 1: Do not panic, and do not submit a new form
First, do not fill a second application unless the official notice says so. A duplicate application can create new problems, and can even cancel both. Stay on the same application, and look for a correction option.
Step 2: Find the exact reason
Look for the reason in these places:
- The message on your application status page or dashboard. It often names the problem, for example “photo not clear” or “signature does not match”.
- The email or SMS sent to your registered mobile number and email address. Also check the spam folder.
- The official notification. Compare your photo with the rules given there, one by one: size, format, background, face position and date.
Write the reason down. It tells you exactly what to fix.
Step 3: Check for a correction window
Many forms allow you to correct a photo or signature for a limited period, sometimes with a small fee. It may be called “correction window”, “edit window” or “modification”. The dates are given in the official notice or on the website’s notice board. Do not delay, because the window can be short and it may not be repeated.
If there is no correction option, look for a helpdesk email, a helpline number or a grievance form, and write to them politely, giving your application number and the problem. The rules differ from one authority to another, so follow theirs.
Step 4: Fix the photo or signature
Usually the reason falls into one of these groups:
| Reason | What to do |
|---|---|
| Face not clear, blurry or in shadow | Take a fresh photo in daylight, against a plain light wall. See how to take a photo at home. |
| Old photo or wrong date | Use a recent photo, and add the real date taken if the form needs it. |
| Wrong size or wrong KB | Resize with the Photo Resizer using the exact values in the notice. |
| Faint or dirty signature | Sign again on white paper with a dark pen, and clean it with the Signature Resizer. |
| Filters or edits | Use a natural photo, without beauty filters. |
| Cropped face or head | Keep the whole face and the top of the shoulders in the frame. |
| Signature does not match | Use the same signature as on your other official documents. |
Always compare the new file against the notification before you upload it.
Step 5: Check everything once more
Before you upload the corrected file, go through this list:
- The file is a JPG, and its size in KB is inside the allowed range.
- The width and height match the notice.
- The face and the signature are clear and complete.
- The correct file is going into the correct box.
- You have opened the final file and looked at it on the screen.
Step 6: Keep proof
After the correction, save a screenshot or a PDF of the confirmation page, and keep the application number and the payment receipt. If a problem comes up later, these help you show what you did and when.
How to avoid a rejection next time
- Take the photo yourself, with good light and a plain background, before the form opens.
- Prepare the photo and signature files in advance and keep them in a folder with clear names.
- Read the photo instructions in full, not just the size.
- Submit early, so that you have time for corrections if something goes wrong.
- Never use a photo edited with filters, and never change facts like the date.
Frequently asked questions
Will my application be cancelled if the photo is rejected?
It depends on the rules of that authority. Many give a chance to correct it, but some do not. Read the official notice to find out.
Can I use the same photo again if I do not agree with the rejection?
It is better to fix the problem than to argue about it. If you believe the photo followed all rules, write to the helpdesk with your application number and ask for a review.
Where do I find the rules for my photo?
Always in the official notification or on the application website. Old rules from a previous year or from another website may not be correct.
Sarkari Photo Tools is an independent website and is not connected to any government department. Please always check the official instructions of your form.
